Volunteer Requirements

Sun Valley Swim Team is a volunteer organization. With the exception of our coaches, there are no paid positions on the team. In order to make swim team work and provide a fun/safe experience, we need A LOT of volunteers! As a part of the Sun Valley Family, we all participate to make swimming a fun-filled, successful summer sport for our kids.

The number of jobs required by each family is determined by the number of registered families! The more friends on our team the fewer jobs required by each family ;-) So invite your pals to swim Sun Valley!

Please Note: Swim Team volunteer requirements are separate from pool membership volunteer responsibilities.  Fulfilling your swim team volunteer obligations does not count towards your Sun Valley Pool volunteer responsibilities.

JOB REQUIREMENTS

Each family will be responsible for working approximately 7 total jobs (1 job = 1 meet or 1 social event) and a job at the Championship Meet or related to the Championship Meet. Sign ups for jobs will go live May 1st, 9am and close May 3rd 9pm.  Jobs are filled as first come first serve.  

Want to reduce your number of meet volunteer assignments? Sign up by March 31st to organize or host a social event (age group social, 15-18 rafting or camping trip, talent show, mom's night, dad's night, or parent's night)! Each social you host/organize will reduce your overall job requirements by 1 job. 

If YOU DO NOT CHOOSE your jobs during sign-up, jobs will be assigned to you.

Continued for 2026!  All families, including those on committees, will also be responsible for a job at the Championship Meet- many of these jobs are simple tasks but it takes a lot of volunteers to ensure the Championship Meet is a great experience for everyone. 

Families who only have 15-18 year old swimmers are not required to work any jobs. A HUGE THANK YOU to those families who continue to volunteer over the years to help our swim team be a success!

Check In With Volunteer Coordinators

During a meet you should check in with one of the Volunteer Coordinators 30 minutes before the meet begins. Failure to check in with the Volunteer Coordinators could result in a Late / No-Show Fine.

Volunteer Buyouts:

We will have a limited number of jobs buy-outs for $800 each which you can purchase during the registration process.  This buy-out will fulfill a family’s swim team volunteer responsibilities for the season including the Champtipnship Meet.  The Volunteer Coordinators will arrange substitutes on your behalf and you will not be responsible for any jobs during the season. This buyout cost is significant as it takes a lot of volunteers to run a swim meet (approximately 40 volunteers) and a swim team.

SVST Job Descriptions:

Here is a list of the some of the jobs available for sign up:

  • Desk Runner: At the end of every event, the runner collects the cards from the timers and delivers them to the automation table. Also keeps an eye on the Stroke and Turn people for disqualification (DQ) cards. You don't have to run, but you do get in a lot of mileage during the meet. Great opportunity for someone who wants to both watch a swim meet and get in a workout. You get to see most races and can pause in your duties to make sure you see your child swim. Help set-up and tear-down/put away Desk & timing equipment.
  • Floater/Relief Timer: Home and Away Meets. Relieve timers and other volunteers when necessary throughout the meet. This is a dynamic, all-hands-on-deck role intended for those who are willing to help the team wherever the need is greatest. Responsibilities are varied and include relieving timers or other volunteers throughout the meet, ensuring our coaches are fed and hydrated, and taking full responsibility for cleaning the team area and returning lost-and-found items to Sun Valley after away meets. Please sign up only if you are prepared for an active shift with a changing to-do list; while some meets may be lighter than others, you should expect to be on your feet and working as a vital part of our operations for the duration of the event.
  • Head Timer: Organize and supervisor timers. Responsible for making sure timers are ready to time. During events maintain multiple backup stopwatches in case a timer has an issue. Helpful to have a cool head and be a quick thinker. Previous experience as a timer is critical.
  • Hospitality: Home Meets Only. Aka Bathroom and Trash Duty. Monitor the bathrooms and the trash around the pool during the meet. Empty trash cans when needed. Clean & restock bathrooms when needed.  All garbage cans around the pool deck should be emptied and lined with new bag at the end of the meet.  At the end of the meet help with take down duties.
  • Parking Attendant at Meher School: Wednesday Night meets only. (3:00pm - 6:00 pm) Arrive by 3:00pm. Put out the SVST parking direction sandwich boards on Meek & Meher & in front of SVST. Then monitor the Meher School parking lot and direct traffic and parking in the parking areas until 6:00 pm.  First responsibility is to help put cones or trash cans out in front of pool parking spaces so food trucks can park. Parking attendant should monitor both Meher School and pool parking lots.
  • Timer: Home and Away Meets. Must be in a chair at the end of a lane during your shift. Verify the name of the swimmer in your lane (ask their name). Use a stopwatch and or “timing plunger” to record the swimmer’s time in your lane in each event. Stopwatch timers record your time on a piece of paper. Plunger Timers just press a button when the swimmer touches the wall. Ability to pay attention and neat handwriting are plusses. By being a timer you get one of the best views of the meet. You are located where each swim event finishes.
  • Set Up/Take Down Crew: Home Meet job.  Arrive early to the meet to assist in getting ready for the meet.  Must be able to lift and move pool deck furniture.   Arrival 1 hour before warmups and return to the meet no later than 8:15 for Wednesday night meets and 12:15 for Saturday meets. At the end of the meet, help with the tear down of meet and return the pool for normal use.
  • Social/Spirit Worker: These are non-meet jobs.  You may sign up to work a social or spirit event.  Examples: talent show, pasta feed, picture day, awards night.  You are expected to assist with set up and take down and any other tasks assigned by then Spirit/Social crew.
  • Pop Up Tents: Bring 3 pop-ups to set up, tear down, and return to Sun Valley. PLUS cleans up team area and returns any items that were left to Sun Valley lost and found. Bring 3 pop-ups to set up, tear down, and return to Sun Valley. PLUS clean up team area and returns any items that were left to Sun Valley lost and found. Arrival time 30 minutes before meet starts; may start take down after butterfly. You can pick them up anytime. The code to the shed to get the popups is 1954- there’s a box with the key on the side of the shed. To return the key you’ll need to reset it and then it will slide back- it can be a bit finicky! Then you would disassemble and bring back to SV pool once the meet is over.

We observe a “Late / No-Show” policy which results in a fine of up to $175 per infraction.  If you or your substitute is late or a "no show" the following financial penalties apply and will be enforced.  $175 for the first infraction and $250 for any subsequent infractions.  No shows at the Championship Meet are $250. 

If payment cannot be confirmed, your swimmer will be disqualified from future meets until fines are paid.

Job Sub Rules & Sub List:

If you or a family member cannot personally perform your scheduled team job at an event, you may hire a substitute. You are responsible for arranging for your substitute AND for paying your substitute directly.  Payment for substitutes is typically $60-$80 per meet or $18-$20/hour.
